Job Description

We are looking for an experienced Billing Analyst with strong Accounts Receivable, billing, invoicing, credit control and customer account management experience.

The ideal candidate will have experience working within an IT, Technology or Office Automation environment, managing high-value customer accounts and supporting billing operations across local and international markets.

This role requires a highly analytical and detail-oriented finance professional who is comfortable managing billing queries, customer reconciliations, payment allocations, invoices, statements, account discrepancies, credit risk and collections.

Responsibilities

Billing & Invoicing
Manage day-to-day billing and invoicing activities for customer accounts.
Ensure accurate and timely processing of customer invoices.
Review invoices, customer account terms and contract information for accuracy.
Process and manage credit notes, debit notes, adjustments and billing corrections where required.
Investigate and resolve invoice discrepancies and short payments.
Maintain accurate customer billing records.
Accounts Receivable
Manage a portfolio of customer accounts and ensure accurate Accounts Receivable records.
Prepare and analyse Accounts Receivable Aging Reports.
Monitor outstanding invoices and overdue customer accounts.
Allocate customer payments accurately to the correct accounts.
Perform daily and monthly customer account reconciliations.
Reconcile customer statements and remittance advice.
Identify unapplied payments, discrepancies and outstanding balances and take appropriate action.
Billing Queries & Dispute Resolution
Act as a key point of contact for customer billing queries and disputes.
Investigate invoice discrepancies and payment differences.
Work closely with customers and internal departments to resolve billing issues quickly.
Liaise with Sales, Customer Service, Distribution and Finance to resolve account and billing queries.
Ensure billing issues are resolved efficiently to minimise payment delays and protect cash flow.
Credit Control & Collections
Monitor customer accounts and proactively follow up on overdue invoices.
Implement appropriate credit control and collection strategies.
Review customer payment behaviour and identify potential credit risks.
Monitor Days Sales Outstanding (DSO) and support initiatives to improve cash flow.
Negotiate payment arrangements where appropriate.
Escalate long-outstanding or high-risk accounts in line with company procedures.
Support legal collections and debt recovery processes where required.
Recommend appropriate action regarding irrecoverable debts and write-offs.
Credit Risk & Account Management
Assess and monitor customer credit risk, credit ratings and credit limits.
Review customer credit information using relevant financial and trade references.
Recommend credit limit adjustments based on risk assessment and company policy.
Ensure customer account terms and conditions are correctly maintained.
Assist with the setup and ongoing maintenance of new and existing customer accounts.
Reporting & Financial Administration
Prepare regular billing, collections, AR aging, bad debt and customer risk reports.
Provide accurate financial information to management and senior stakeholders.
Monitor collection performance and identify trends and opportunities for improvement.
Maintain accurate supporting documentation for customer accounts.
Ensure compliance with financial controls, credit policies, internal procedures and audit requirements.

Required Skills

5+ years' experience in Billing, Accounts Receivable, Credit Control, Collections or a related finance function.
Proven experience managing high-value customer portfolios.
Experience within an IT, Technology, Office Automation or related environment is highly advantageous.
Strong experience with billing and invoicing.
Strong Accounts Receivable experience.
Experience preparing and analysing AR Aging Reports.
Experience with customer account reconciliations.
Experience with payment allocation and payment discrepancies.
Experience handling billing queries and customer disputes.
Experience managing overdue accounts and collections.
Experience with credit risk assessment and credit limit management.
Experience working with local and international customers/accounts.
